Assignments

Assignments allows Site Admins to assign certain Daily Rounds and Procedures to an area or assignment of focus.

Overview

Assignments personalize Preserve for the work people actually do at your site. An Assignment is a site-defined role or position—such as Control Room Operator.

Assignments help users start in the right place on Home. They emphasize the Rounds and Interactive Procedures tied to that role. Users can still access all Procedures and Rounds in the system; Assignments provide focus, they do not lock users out.

Your organization can define its own Assignments. 

  • Administrators and supervisors: create Assignments, assign users, and link Rounds and Interactive Procedures.
  • Operators and technicians: select the correct Assignment for the day and work from a focused Home and dashboard.

What are Assignments?

  1. Understand the concept
    • An Assignment reflects a billet or responsibility at your site (for example, Control Room Operator, Field Technician).
    • Each organization can create as many Assignments as it needs—you define what fits your operation.
    • In Operate, Assignments change what is emphasized on Home and the dashboard (especially contextual Rounds).
    • In Learn, Assignments also support course auto-assignment.
  2. Know what changes for users
    • Home highlights Interactive Procedures configured for the Assignment (up to 10 procedures per type).
    • The home page also emphasizes Rounds linked to the selected Assignment.
    • Users can still open all Interactive Procedures and Rounds using View All.

How administrators create and assign

  1. Open Assignments for your site
    • Click your name in the upper-right corner → Settings.
    • Open the Site tab → select your site → Manage.
    • Choose AssignmentsEdit Assignments.
  2. Create a new Assignment
    • Click Create Assignment.
    • Complete the form sections:

    • Assignment name (required): shown across Preserve.
    • Assignment description: helps users pick the right role for the day.
    • Color (optional): visual identification in lists and menus.
  4. User
    • Select users from the dropdown → Assign.
    • Assigned users appear with name, email, and Remove.
    • These users see this Assignment as their default in the top menu bar.
  5. Rounds 
    • Select Rounds from the dropdown → Assign.
    • Review name, description, log count, and frequency; remove any that do not belong.
    • These Rounds become contextual when a user selects this Assignment.
  6. Interactive Procedures
    • Select procedures → Assign for each priority item on Home.
    • Prioritize within the 10-per-type Home limit.
    • Users retain full procedure access via View.
  7. Finish setup
    • Click Create.
    • On the Assignments list, use Edit or Delete as roles change over time.

How users select and use Assignments

  1. Check your default Assignment
    • After sign-in, look at the top menu bar for your default Assignment name.
  2. Open assignment options
    • Click the Assignment name in the top menu.
      • Options include View Assignment Details, other Assignment titles, and No Assignment Context.
  3. Select your Assignment for the day
    • Use View Assignment Details when you need more than a title.
      • The picker header reads: Select your Assignment for the day.
      • Read titles and descriptions, then choose the role that matches today’s work.
  4. Work from your focused Home dashboard
    • Your dashboard shows Rounds linked to that Assignment.
      • Home shows priority Interactive Procedures for that role.
      • Use View when you need a procedure not shown on Home.
  5. Switch or clear context when needed
    • Change Assignment from the top menu if your position changes mid-shift.
      • Choose No Assignment Context for an unfiltered dashboard view.
