Role Types

Your role decides what you can see and do in Preserve. You have one role for each part of Preserve you use: the platform, Operate, and Learn.

Role	What you can do
Platform User	Sign in and use Preserve. Everyone has this.
Platform Admin	Manage users, sites, and organization settings.

Role	What you can do
Read Only	View documents, procedures, and rounds.
User	Everything above, plus complete rounds and procedures, upload documents, and add notes.
Admin	Everything above, plus create, edit, and delete content, and manage Operate Settings.

Role	What you can do
Learner	Take courses, learning paths, and qualifications. See your own progress and certificates.
Supervisor	Everything above, plus review shadow sessions and tasks assigned to you.
Manager	Everything above, plus see everyone's progress, run reports, and approve access requests.
Learn Admin	Everything above, plus create and manage courses, learning paths, and qualifications.

Operate and Learn roles can be given for your whole organization or for just one site.

Organization role: applies at every site.
Site role: applies only at that site.
In Learn, if you have both, the higher role applies.
Operate and Learn roles are separate. A role in one doesn't give you access to the other.

💡 A Learn Admin at a single site can create and edit training for that site only. They can't change which sites see training.

Only Platform Admins can change roles. If you can't see something you need, contact your Platform Admin.

For Platform Admins:

Organization roles: your name (top right) → Settings → Organization → User Management
Site roles: Settings → the Site tab → the site → Users

Changing a role replaces the old one. You can't hold two roles in the same area at once.
