Managing Course Versions
How course versioning works in Preserve Learn, and what happens to enrolled learners when you update.
Every course in Preserve Learn uses a versioning system. This lets you update or improve course content without disrupting learners who are actively working through the existing version.
The version lifecycle
Courses move through three states:
- Draft — being built or edited; not visible to learners
- Published — live and available for enrollment; learners can enroll and complete it
- Archived — a previous version that's been replaced by a newer published version; preserved for historical records but no longer available for new enrollments
Only one version can be Published at a time. Publishing a new version automatically archives the previous one.
Viewing and managing versions
From the Edit Course page, the Version Management section shows your current version, its status, when it was last updated, and options to Edit Draft, Preview, and Publish.
Click View All Versions to see the full version history — every version with its number, status, author, creation date, and available actions (Edit, Publish, or Delete).
Creating a new version
To update a published course, click Create Draft (or + New Version from the version list). This creates a draft copy of the current published version. Your published course stays live while you work on the draft. Learners continue working through the published version unaffected.
Once you're done editing, click Publish. A confirmation window reminds you that the new version will become live and the current version will be archived.
What happens to enrolled learners when you publish a new version- Learners who completed the old version keep their completion record. Their status stays at 100% complete and they are not required to redo the course unless it's part of a recurring compliance requirement tied to an Assignment.
- Learners in progress will see their module marked as Locked with a "New version available" message. They must re-enroll in the new version to continue — their progress on the old version does not carry over automatically.
What happens if a module is added after a learner finishes
If a learner has already completed a course and an admin adds a new module, the learner's completion status stays at 100%. They are not pushed back to "in progress." They can voluntarily re-enroll in the new version to access the new content.
Permanent completion records
Every course completion creates a permanent, auditable record that includes the version number completed, who completed it, and when. These records survive even if the course or enrollment is later deleted — they cannot be removed.
